What to do if your team is facing a complex problem?

Reading time: 4 min.
1. Assess Issue

1.1 The first step to solving a problem is to calm down and not be afraid to look at the problem. No matter how difficult and scary the problem may seem, it is just a problem that will be solved.

1.2 Be an example, be confident, calm and positive when faced with a problem. Let your colleagues see that any problem requires a calm mind, and learn to manage their emotions.

1.3 In a calm state, assess the situation. Answer the questions: Is the problem really a problem or is it a consequence of another, more important problem? What elements make up this complex problem? How does the problem affect the company's key goals?

2. Devise Plan

2.1 To prepare a plan, you need to see the big picture and evaluate resources. Setting goals and objectives, developing processes, etc. require adequacy and realism.

2.2 It is at the planning stage that mistakes often occur, which not only do not help solve the problem, but also aggravate it. Please take extra care, take your time, and plan responsibly.

3. Encourage Ideas

3.1 Foster a culture of a safe environment where everyone is encouraged to share their ideas. Favorable conditions for this culture are respect, caring, gratitude and goodwill. Unfavorable conditions - criticism, cruel jokes, punishment for taking initiative, ridicule, bullying, gossip, talking behind colleagues' backs, etc.

3.2 Give thanks and praise for every idea. Emphasize the importance of the participation of each team member, and form a proactive habit in the team.

4. Implement Steps

4.1 No matter how elegant and potentially effective a solution may be, without proper implementation it will be meaningless.

4.2 Solving complex problems requires special attention at the stage of implementing solutions. Most often, in such cases, several solutions are implemented: it is important to understand that the implementation of each of them can play a decisive role in solving the problem.

5. Monitor Progress

5.1 Create a monitoring process for implemented solutions and train the team to use it; you can use your project management tools. Please remember: the monitoring process should be regular, simple, understandable, convenient, requiring minimal time and action.

5.2 Develop a healthy habit in your team of enjoying the positive results of implemented changes and recording the experience gained in the knowledge base.

6. Adapt Quickly

6.1 If during monitoring, remnants of an old problem or new problems are identified, it is important to take the necessary actions described in the previous paragraphs of this article as soon as possible.

6.2 Please rememeber: the ability to quickly make decisions appropriate to the situation and be flexible to achieve key company goals is important for both the team leader and each team member.

Key points

1. It is important to understand that problems are part of the workflow; the leader's attitude to problems significantly affects the team's attitude to problems.

2. Be an example - don't be afraid to face problems, don't hide from them, solve them. Regardless of complexity, any problem requires certain actions.

3. Train your team to solve complex problems. A good way to do this is to formulate the key steps for solving problems, formalize them into one algorithm, stick to it yourself, and help team members use it. Look for positive changes and provide positive reinforcement: praise, thank, celebrate.

Good luck!
